Privacy Policy

1. Introduction

Lagoon Technologies Private Limited (“Lagoon Technologies”, “we”, “us”, or “our”) is committed to protecting the privacy of every individual and organisation that uses our products — Opex HR Payroll, Corex ERP, TimeTick Attendance, and Safex365 QHSE (the “Services”). This Privacy Policy explains what personal data we collect, why we collect it, how we use and protect it, and the rights and choices available to you.

2. Scope & Data Roles

This policy applies to all websites, applications, and cloud services operated by Lagoon Technologies. Where we process personal data that our customers upload into our platforms — for example, employee records inside Opex HR or attendance logs inside TimeTick — the customer is the data controller and Lagoon Technologies acts as a data processor on their behalf. Where we collect data directly from website visitors and account holders, we act as the data controller.

3. Information We Collect

We collect only the data needed to deliver, secure, and improve the Services.

Information you provide: account and contact details (name, business email, phone number, company name, job role); workforce data entered into our platforms (employee profiles, payroll inputs, attendance and leave records, QHSE incident reports); billing information (subscription tier, invoicing address, payment references); and support communications.

Information collected automatically: device and connection data (IP address, browser type, operating system, time zone); usage data (features accessed, pages viewed, actions performed); and, where enabled by an employer, geo-fence check-in coordinates captured by TimeTick.

Payment card data is handled by our PCI-DSS compliant payment processors and is not stored on our systems.

4. How We Use Your Data

We use personal data to: provide, operate, and maintain the Services and their core features; run AI-powered functionality such as payroll anomaly detection, demand forecasting, and vendor scoring; process subscriptions, invoices, and renewals; provide implementation, training, and technical support; monitor performance, prevent fraud, and protect the security of our systems; and comply with legal, tax, and regulatory obligations. We do not sell or rent your personal data, and we do not share it with third parties for their own marketing purposes.

5. Legal Basis for Processing

Where applicable data protection law requires it, we rely on one or more of the following grounds: contract (processing necessary to deliver the Services you have subscribed to); legitimate interests (securing our platform, improving features, and preventing misuse); legal obligation (meeting statutory, tax, and compliance requirements); and consent (where you or your employer have provided it, for example for marketing communications, which you may withdraw at any time).

6. Sharing & Disclosure

We disclose personal data only in limited circumstances: to vetted sub-processors — including cloud, hosting, and infrastructure providers such as AWS — that support delivery of the Services under contractual confidentiality obligations; within your organisation, to authorised users based on the roles you configure; where required by law, regulation, or a valid order from a competent authority; and in connection with a merger, acquisition, or asset sale, subject to the protections of this policy.

7. Data Security

We apply technical and organisational safeguards designed to protect personal data. All data is encrypted at rest (AES-256) and in transit (TLS 1.2 or higher), hosted on AWS infrastructure with role-based access controls, audit logging, and regular security reviews. While no system can guarantee absolute security, we work continuously to protect your information and to detect and respond to threats.

8. Data Retention

We retain personal data for as long as your account is active or as needed to provide the Services. Following termination, you may request an export of your data within 30 days. After this period, data is permanently and irreversibly deleted, unless a longer retention period is required to meet legal, tax, or accounting obligations.

9. Your Rights

Subject to applicable law, you may have the right to: access the personal data we hold about you; request correction of inaccurate or incomplete data; request deletion where there is no overriding legal reason to retain it; restrict or object to certain processing; receive your data in a portable, machine-readable format; and withdraw consent where processing relies on it. To exercise any of these rights, contact us at privacy@lagoontechnologies.com. If we process your data on behalf of your employer, we may direct your request to them as the data controller. You also have the right to lodge a complaint with the relevant data protection authority.

10. International Data Transfers

Lagoon Technologies serves customers across 18 countries. Where personal data is transferred across borders, we process it in accordance with applicable data protection laws, including the Information Technology (Amendment) Act 2008 (India) and the UAE Personal Data Protection Law, and apply appropriate safeguards for such transfers.

11. Cookies & Tracking

Our website uses cookies and similar technologies to keep you signed in, remember your preferences, and understand how the site is used so we can improve it. You can control or disable cookies through your browser settings, though some features may not function correctly if cookies are turned off.

12. Children’s Privacy

The Services are intended for business and enterprise use and are not directed at children under the age of 16. We do not knowingly collect personal data from children. If you believe a child has provided us with personal data, please contact us so we can take appropriate action.

13. Changes to This Policy

We may update this Privacy Policy from time to time to reflect changes in our practices, technology, or legal requirements. When we make material changes, we will update the “Last updated” date above and, where appropriate, notify subscribers. Your continued use of the Services after an update constitutes acceptance of the revised policy.
